By accessing or using Servus Bonus ("Service"), you agree to be bound by these Terms of Use ("Terms"). If you do not agree, you do not have permission to use the Service.
The Service is available to users located in the United States. You must be at least 13 years of age to register for an account and use the Service. If you are an organization administrator, you represent and warrant that you have the authority to agree to these Terms on behalf of your organization and to bind it to these obligations. Minors under 18 may participate as volunteers when added to the platform by an organization administrator, subject to the restrictions and requirements in §25.
Servus Bonus is a volunteer scheduling platform purpose-built for organizations that coordinate recurring volunteer participation across events, roles, and time — including churches, schools, non-profits, neighborhood associations, and community programs.
The core of the Service is an automated scheduling engine that assigns volunteers to tasks based on organization-defined events, task requirements, volunteer availability, group memberships, blocked dates, and fairness-based rotation logic. The engine is designed to distribute scheduling assignments equitably over time — so that no volunteer is systematically over-assigned, under-assigned, or scheduled in conflict with their stated constraints.
The Service is not a staffing or employment platform. It is a coordination tool. Volunteers participate on a voluntary basis as defined by their organizations. Servus Bonus facilitates the administrative side of that coordination — scheduling, communication, substitutions, and record-keeping — without making decisions about the nature or terms of the volunteer relationships themselves.
The Service supports multiple organization types and carries no affiliation with any religion, denomination, or institution.
Servus Bonus is built around a core belief: the people who give their time to serve communities deserve to be treated with fairness, and the coordinators who manage them deserve tools that reduce — not add to — their burden.

These statements describe the design principles and goals of the Service. They are not warranties, service level agreements, performance guarantees, or enforceable obligations beyond what is expressly stated in these Terms of Use. They provide context about how the Service is built; they do not govern the interpretation of disputes.
To use certain features of the Service, you must register for an account. You agree to provide accurate, current, and complete information during registration and to keep that information up to date.
You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. The Service is not responsible for any loss or damage arising from your failure to keep your credentials secure. If you believe your account has been compromised, contact us immediately at support@servusbonus.com.
When you create an account, you acknowledge that the Service will send you operational communications necessary to deliver the Service — including schedule assignments, changes, reminders, substitution requests, and account or service alerts ("Transactional Messages"). Because these communications are how the platform keeps volunteers coordinated and administrators informed, they remain active for the duration of your account. If you prefer not to receive them, you may close your account at any time. The Service does not send marketing or promotional messages.
If you add or import volunteer contact information, each imported volunteer will be required to review and accept these Terms and the Privacy Policy upon their first login and to verify their email address before using the Service. You represent that you have the right to add that contact information to the Service and that doing so does not violate any applicable law or any obligation you owe to that person.
The Service offers subscription plans with different feature limits. Current plans and their limits include:

Feature limits may change over time. The current limits applicable to your account are always visible within the Service.
Paid subscriptions are billed monthly or yearly as selected at the time of purchase. You authorize the Service to charge your payment method for all applicable fees. Payments are processed by Stripe, Inc. By subscribing, you acknowledge that you have reviewed and agree to Stripe's Terms of Service (stripe.com/legal) and Privacy Policy (stripe.com/privacy). Servus Bonus is not responsible for errors, interruptions, or losses arising from Stripe's payment processing services.
You may upgrade or downgrade your subscription at any time. Changes are prorated based on the remaining time in your current billing period.
Servus Bonus reserves the right to modify subscription plans and pricing with at least thirty (30) days' advance notice for material rate changes.
You retain all rights to the data you input into the Service. By using the Service, you grant Servus Bonus a limited, non-exclusive, royalty-free license to process and store your content solely for the purpose of providing and improving the Service. This license ends when your account is permanently deleted.

If you submit ideas, suggestions, feature requests, or other feedback regarding the Service ("Feedback"), you grant Servus Bonus a perpetual, irrevocable, worldwide, royalty-free license to use, reproduce, modify, and incorporate that Feedback into the Service without restriction or compensation. Feedback is not considered confidential and Servus Bonus has no obligation to respond to or act on it.
The Service processes the data that organizations and their members provide. Its accuracy, fairness, and usefulness depend entirely on the quality of that data. Organizations and their administrators are solely responsible for:
Servus Bonus makes no representations about the suitability of any output produced by the Service for your organization's specific operational, legal, or community needs. You are responsible for evaluating that suitability before acting on it.
The Service uses an automated scheduling engine to assign volunteers to tasks and time slots based on the configuration, data, and constraints provided by the organization. The engine applies fairness-based logic designed to distribute assignments more equitably over time.
The engine generates suggested schedule assignments based solely on the configuration, constraints, and data that your organization has entered into the Service. Its output reflects only what has been provided to it. The engine does not independently assess volunteer availability, verify accuracy of the data provided, or evaluate the legal, organizational, or compliance suitability of any assignment.
The scheduling engine operates on the data provided to it. Servus Bonus does not warrant, represent, or guarantee that:
The engine's output is a starting point, not a final decision. Every schedule must be reviewed by an administrator before it is acted upon or shared with volunteers.
The organization's administrator is solely responsible for reviewing, adjusting, approving, and publishing schedules generated by the Service. By publishing a schedule, the administrator confirms that they have reviewed it and accept responsibility for its accuracy and appropriateness. Servus Bonus shall not be liable for any scheduling error, conflict, volunteer dissatisfaction, or operational disruption arising from a schedule generated or published through the Service, including schedules generated from inaccurate, incomplete, or missing volunteer data.
Nothing in the operation of the Service limits or restricts an administrator's authority to manually create, modify, or delete any assignment. Automated scheduling is a feature of the Service; human judgment is the final authority.
The Service is designed to give each user access to the information they need for coordination while limiting unnecessary exposure of personal data.
Organization administrators have access to all volunteer profiles, contact information, schedule assignments, group memberships, blocked dates, and substitution history within their organization.
Volunteers have full access to their own profile and scheduling data. When a schedule is published, volunteers may see the names and assigned tasks of other volunteers on the same schedule — this is necessary so that team members know who they are serving alongside. Volunteers do not have access to each other's contact information, personal profiles, or blocked dates.
Authorized platform personnel may access account and organization data — including volunteer profiles, schedules, and configurations — as reasonably necessary to operate, secure, troubleshoot, maintain, and support the Service, to investigate potential violations of these Terms or security incidents, or to comply with applicable legal obligations. This access is described in our Privacy Policy and is limited to what is operationally necessary.
If you are a volunteer and you have concerns about the information your organization can access, those concerns should be directed to your organization administrator. If you believe the platform is being used improperly, you may also contact us at support@servusbonus.com.
Private calendar feed URLs are generated by individual volunteers and are accessible by any person or application that possesses the URL — including calendar applications, sync services, or anyone to whom you forward or share it. You are responsible for the security and confidentiality of your calendar feed URL. If you believe your URL has been compromised, you can regenerate it at any time through your account settings. Servus Bonus is not responsible for access to your schedule data by parties who obtained your URL through your own actions or through any device, application, or service you used to store or sync it.
Exported data files (CSV) generated by organization administrators are delivered directly to the administrator's device and are not retained by us after download. Organizations and administrators are solely responsible for the secure storage, handling, and disposal of exported files, and for any harm resulting from their subsequent disclosure or misuse.
The collection, use, and protection of your personal information is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you acknowledge that you have read and understood the Privacy Policy.

Servus Bonus makes reasonable efforts to maintain the Service in a reliable and accessible state, but does not guarantee uninterrupted availability. The Service may be temporarily unavailable due to:
We will endeavor to schedule maintenance during off-peak hours and to provide advance notice of planned downtime where feasible. However, no specific uptime percentage is guaranteed and no service level agreement (SLA) is created by these Terms or by any marketing material describing the Service.
Servus Bonus shall not be liable for any loss, damage, or disruption arising from unavailability of the Service.
Use of the Service does not create any employment, agency, partnership, joint venture, or fiduciary relationship between Servus Bonus and any user — including volunteers or organization administrators. Volunteers who use the platform are not employees, contractors, or agents of Servus Bonus. Organizations that administer accounts are independent entities and are not affiliated with, representing, or acting on behalf of Servus Bonus. Nothing in these Terms shall be construed to create any such relationship.
The Service and its original content, features, and functionality — excluding content submitted by users — are owned by Servus Bonus and protected by applicable copyright, trademark, and intellectual property laws.
You may not:
The Service may offer features designated as "beta," "preview," "experimental," or similar ("Beta Features"). Beta Features are provided as is, without warranty of any kind. Servus Bonus makes no representations regarding their stability, accuracy, or continued availability. Beta Features may be changed, suspended, or removed at any time without notice. Use of Beta Features is at your sole risk.
You may close your account at any time through the account settings within the Service or by contacting us at support@servusbonus.com.
Servus Bonus reserves the right to suspend or permanently terminate any account, with or without prior notice at our discretion, and without liability to you, if we determine that you have:
Where circumstances do not require immediate action to protect the Service, other users, or our legal position, we may — but are not required to — provide reasonable notice before suspension or termination. A suspension may be temporary or permanent depending on the severity and nature of the conduct. Servus Bonus is not obligated to provide a reason for its decision.
Upon termination, your right to access and use the Service ceases immediately. Data retention following termination is governed by our Privacy Policy, including a 30-day recovery window before permanent deletion of personal data. Aggregated scheduling statistics (assignment counts with no identifying information) may persist within the organization's schedule records for the lifetime of that organization's account, as described in the Privacy Policy. Billing records required by applicable tax law are retained for their legally required period regardless of account status. Termination does not relieve you of any obligations that accrued before the termination date, including any outstanding payment obligations.
Notwithstanding the arbitration provisions in Section 21, you acknowledge that any breach or threatened breach of Section 6 (Acceptable Use), Section 14 (Intellectual Property), or any provision involving unauthorized access, data misuse, or irreparable harm to Servus Bonus may cause immediate and irreparable injury for which monetary damages would be an inadequate remedy. Servus Bonus reserves the right to seek injunctive or other equitable relief in any court of competent jurisdiction without first exhausting arbitration and without posting bond or other security.
You agree to defend, indemnify, and hold harmless Servus Bonus and its owners, operators, employees, agents, and successors from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising out of or related to:

To the maximum extent permitted by applicable law, Servus Bonus and its owners, operators, and suppliers shall not be liable for any indirect, incidental, special, consequential, or punitive damages — including loss of profits, data, goodwill, or volunteer coordination continuity — arising from:
In no event shall Servus Bonus's total liability exceed the amounts you paid to the Service in the twelve (12) months preceding the event giving rise to the claim, or one hundred dollars ($100), whichever is greater.
The Service is provided on an "AS IS" and "AS AVAILABLE" basis, without warranties of any kind — express or implied — including but not limited to implied warranties of merchantability, fitness for a particular purpose, non-infringement, or course of performance.
Servus Bonus does not warrant that:
Servus Bonus shall not be liable for any failure or delay in performance arising from events beyond its reasonable control, including: acts of God, natural disasters, pandemics or public health emergencies, war, terrorism, civil unrest, government action, fire, flood, accidents, infrastructure failures, strikes, or outages of third-party service providers (including cloud hosting and payment processors). Obligations are suspended for the duration of the force majeure event.
Before filing any formal action, you agree to contact us at support@servusbonus.com and attempt to resolve the dispute informally for at least thirty (30) days. Most concerns can be resolved this way.
If informal resolution fails, any dispute arising out of or relating to these Terms or the Service shall be resolved by binding arbitration administered by the American Arbitration Association ("AAA") under its Consumer Arbitration Rules. Arbitration shall take place in King County, Washington. Arbitration costs and fees are governed by the applicable AAA rules.
All dispute resolution under these Terms proceeds on an individual basis only. Neither party may bring a class action, consolidated, or representative claim. If this waiver is found unenforceable, the arbitration provision as a whole is void.
Either party may bring an individual claim in small claims court in King County, Washington, without first pursuing arbitration.
If you do not wish to be bound by the arbitration agreement and class action waiver in this Section 21, you may opt out by sending written notice to legal@servusbonus.com within thirty (30) days of the date you first accept these Terms or first use the Service, whichever is earlier. Your notice must include your full name, email address, and a clear statement that you are opting out of arbitration. If you opt out, any dispute will be resolved in court as provided in Section 24. Opting out does not affect any other provision of these Terms and does not affect your right to use the Service.
Servus Bonus reserves the right to modify, suspend, or discontinue any feature or aspect of the Service at any time. For material changes that significantly reduce core functionality of a paid plan, we will provide at least thirty (30) days' advance notice. For minor adjustments, experimental feature removals, or changes that do not materially affect the core Service, no advance notice is required. Servus Bonus shall not be liable to you or any third party for any modification, suspension, or discontinuation.
We may update these Terms as the Service evolves or as legal requirements change. For material changes, we will provide at least thirty (30) days' notice by posting the updated Terms on the Service or by sending you a Transactional Message. Continuing to use the Service after the effective date of any change constitutes your acceptance of the updated Terms.
These Terms are governed by the laws of the State of Washington, United States, without regard to conflict of law principles. To the extent that litigation is permitted under these Terms, you consent to the exclusive jurisdiction of state and federal courts in King County, Washington.
Any volunteer identified as a minor (under 18 based on their date of birth) in your organization must be assigned to a family hub with a designated adult head before that volunteer may be placed in a schedule. Attempted placements by the automated scheduling engine or by a manual administrator action will be blocked until a valid family hub is assigned.
If no date of birth is recorded for a volunteer, the platform has no mechanism to identify that volunteer as a minor and will default to adult communication routing. Your organization is solely responsible for entering accurate dates of birth for all volunteers, and bears sole responsibility for communications routed directly to a volunteer who is in fact a minor due to an absent or inaccurate date of birth.
As data controller, your organization is solely responsible for obtaining all necessary parental or guardian consent before adding minor volunteers to the platform, and for ensuring that all applicable safe-environment, diocese, school-district, or local regulatory requirements are met. Servus Bonus provides the technical mechanism to route communications to a designated adult; we do not verify or warrant that required consent has been obtained.
Servus Bonus does not independently verify: (a) the age of any volunteer; (b) the identity, legal authority, or guardian status of any family hub head; (c) whether parental or guardian consent has been obtained or is legally sufficient; or (d) whether your organization has complied with any applicable safe-environment, youth-protection, diocesan, school-district, or institutional requirements. The technical routing mechanisms in this section are tools only — legal compliance is your organization's responsibility.
Your organization is responsible for maintaining accurate dates of birth on volunteer records. If a date of birth is inaccurate, missing, or intentionally omitted, the platform will default to adult communication routing, which may expose your organization to compliance liability. Once recorded, a volunteer's date of birth can only be modified by the organization's primary account holder (super_admin). Volunteers cannot edit their own date of birth after registration.
Your organization is responsible for any harm, regulatory penalty, or third-party claim that results from an inaccurate, missing, or falsified date of birth on a volunteer record.
When a minor volunteer reaches 18 years of age, the platform automatically reverts to direct communication routing for that user. Your organization may adjust family hub membership at that time.
The Service is not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13 without appropriate parental authorization.
As the platform operator, we take our obligations under the Children's Online Privacy Protection Act (COPPA) and applicable law seriously. This is a business-to-business platform, and any personal data about a volunteer under 13 reaches the Service because an organization administrator has chosen to add that volunteer. We operate in reliance on the organization — which is in direct relationship with the minor and their family — to serve as the appropriate party to provide parental notice and obtain parental or guardian consent before adding any volunteer under 13.
Before adding any volunteer under the age of 13 to the platform, your organization must: (a) provide parents or guardians with direct, clear notice of what information will be collected through the Service and how it will be used; (b) obtain and document verifiable parental or guardian consent; and (c) comply with all applicable COPPA, state, institutional, and regulatory requirements governing collection of personal information from children under 13.
By adding a volunteer under 13, your organization represents and warrants that all required parental notices and consents have been properly obtained and documented, and that it has the authority to authorize data processing through the Service for that minor. If you become aware that a volunteer under 13 was added without proper consent, notify us immediately at support@servusbonus.com. We will take appropriate action, which may include removal of that volunteer's data.

These Terms, together with our Privacy Policy, constitute the entire agreement between you and Servus Bonus regarding the Service and supersede any prior agreements. By using the Service, you confirm that you have read, understood, and agree to be bound by these Terms.
